A typical visitor logbook today

The front-desk logbook tells you who signed, not who's here.

A parent writes a name and an NRIC on a clipboard. The next visitor reads it. Handwriting is guessed at, contact numbers are wrong, and nobody can say how many adults are on campus when the fire alarm goes off. The PDPC has told organisations not to collect full NRIC numbers by default since 2019, and from 31 December 2026 the NRIC can no longer be used to authenticate people, which puts the paper logbook on the wrong side of the guidance.

The NRIC logbook is on its way out

Collecting full NRIC numbers by default has been restricted since 2019, and NRIC-based authentication must stop by 31 December 2026. A handwritten NRIC logbook at reception no longer meets the guidance.

How it works

Set up before term starts. Sign a visitor in in 3 seconds.

One flow for your office, one for the parents and visitors at the gate.

1

Create an account with an email. No hardware, no integration, no GovTech paperwork on your side.

2

Add your gates

Set up the front reception, the childcare drop-off, the exam hall, or a one-off event. Choose which fields each one collects.

3

Print the QR code

Download the QR for each entry point and place it at the counter or the gate.

4

Watch the campus roll

See who's checked in right now, search past visits, and export the log for audits or an incident report.

1

Scan the QR

Any phone camera opens the check-in page. Nothing to download.

2

Verify with Singpass

The parent authorises their name, masked NRIC, and mobile. The same flow they use for government services.

3

Signed in

The office has a verified record. At pickup, staff confirm the adult against the child's authorised list.

Why schools use SingVMS

A verified record of every adult on campus.

Not a form anyone can fill with a fake name. Every sign-in is checked against Singpass, so the name on your dashboard is the person's real, government-held identity.

Child-safeguarding by identity

Every visitor is verified against Singpass before they walk past reception. Your record shows who was on site, when, and why, not a scribble on a clipboard.

Authorised-pickup verification

At dismissal, confirm the adult collecting a child is a verified identity on that child's authorised list. No guessing from a signature.

Contractor and vendor access

Aircon technicians, part-time tutors, exam invigilators, and delivery staff sign in with the same QR. You keep a verified trail of every non-staff adult who entered.

Evacuation headcount in one screen

When the alarm sounds, open the dashboard and see how many visitors are on campus and who they are. No flipping through a wet logbook.

Audit-ready records

Search by date, gate, or name. Export to CSV for reporting, incident follow-up, or a PDPA data request.

One account, every entry point

Front gate, childcare wing, tuition rooms, sports hall, open house. Each gets its own QR and its own log, managed from a single dashboard.

FAQ

Questions from schools and centres

Common questions about Singpass visitor management for education settings.

No, and the rules have moved against it. Since 2019 the PDPC has told organisations not to collect full NRIC numbers by default for routine purposes like visitor registration, and from 31 December 2026 they must also stop using the NRIC to authenticate people. SingVMS handles this two ways: a visitor never writes down an NRIC, and the full number is never stored. Singpass returns a masked NRIC (for example S****567A) plus a secure hash to recognise repeat visitors, so you keep a reliable identity record without holding the full ID.

At dismissal, the adult collecting a child scans the pickup QR and verifies with Singpass. Their real, government-held name appears on your dashboard. Staff match that verified identity against the child's list of authorised guardians, instead of trusting a signature or a face they half-recognise. Every collection is logged with a verified identity and a timestamp.

Foreign parents, domestic helpers, and overseas visitors may not have Singpass. They use a manual check-in form (name, contact, and an ID number if your policy requires it). These entries are clearly marked as unverified on your dashboard, so staff always know which sign-ins are Singpass-verified and which are self-reported.

Yes. The dashboard shows every visitor who is currently checked in and not yet checked out, with their verified name and entry time. During a drill or a real evacuation, you get an accurate visitor headcount in one screen, alongside your staff and student rolls, instead of counting heads from a paper logbook.

The free plan returns a verified name, a masked NRIC, and a mobile number, all from Singpass MyInfo. That covers a safe, reachable sign-in record. If your programmes need more (email, date of birth for age checks, or pass type for foreign contractors), those fields are available on enterprise plans. Each gate only requests the fields you switch on, so you don't over-collect.

The check-in is for the adults, not the children. Parents, guardians, helpers, and staff verify their own identity at drop-off and pickup. That's exactly where a preschool or childcare centre needs certainty: a verified record of which adult brought a child in, and which adult took them home.

No. Visitors use their own phones. You print the QR code and place it at the reception counter or the gate. There's no kiosk to buy, no tablet to maintain, and no app for parents to download. They only need the Singpass app they already have.

Minutes. You register, add your gates (front reception, childcare wing, exam hall, an event), and print each QR code. SingVMS is already a registered Singpass relying party, so there is no GovTech assessment or developer work on your side. You can be verifying visitors the same day.
